The Context

Royalpeer Model College needed a centralized digital system to replace fragmented, manual school management processes.

The Royalpeer Model College School Portal is a web-based school management platform designed to digitize academic operations, student records, payments, results, bus services, textbooks, and communications. I was brought on as the UI/UX designer to design the complete multi-role portal experience, covering Admin, Teacher, Parent, and Student dashboards across both mobile and desktop.

The Problem

Managing a school manually created delays, errors, and a frustrating experience for parents, teachers, and administrators alike.

Without a centralized system, parents had no reliable way to check results, make payments, or receive updates. Teachers entered scores on paper with no formal approval workflow. Administrators had no real-time financial visibility. The school needed a single platform that every stakeholder, at every access level, could trust and use with confidence.

The Objectives

Design and deliver a role-based school management portal for Royalpeer Model College that makes academic operations, payments, and communication seamless for administrators, teachers, parents, and students.

This involved a full UX design thinking process: deep user research, synthesis, user personas, journey mapping, user flows, design system creation, and high-fidelity screens across all 4 user dashboards and 20+ portal modules on both mobile and desktop.

I started by understanding the real pain of managing a school with no digital system.

  1. What made school administration so stressful and error-prone without software?

  2. What did parents need to feel in control of their child's academic and payment records?

  3. What did teachers need to enter, submit, and manage results with confidence?

I ran research across multiple touchpoints to build real empathy.

  1. Studied existing school portals, eSchoolPro, Schoology, and Nigerian-market equivalents.

  2. Interviewed stakeholders on pain points with manual processes, results, fees, and communication.

  3. Mapped how different user roles interacted with the school and each other.

I translated research into clear product requirements across all four user roles and three lenses.

  1. What did each role need to accomplish their core tasks without friction?

  2. What did the school need to run operations and generate revenue efficiently?

  3. What did role-based access and payment security demand from the design?

Core Design Problem Statement

Administrators, teachers, parents, and students need a single, role-based school portal that makes academic management, fee payment, and school communication feel organized and effortless — so the school can run entirely without paper-based processes.

3. IDEATE

I mapped four parallel user flows before designing a single screen.

  1. What was the simplest path for a parent from login to downloaded receipt?

  2. How does the result approval workflow connect teachers, admins, and parents?

  3. How do all four roles interact with the same central system without conflicts?

I generated concepts for both the patient experience and the doctor dashboard.

  1. Prioritized the parent flow — the most frequent and highest-stakes user journey.

  2. Designed the result workflow to enforce the teacher → admin → management → publish chain.

  3. Considered empty, loading, error, and success states throughout all four surfaces.

4. DESIGN

I built a system that had to serve four very different users without feeling like four different products.

  1. How do we maintain one consistent visual language across admin, teacher, parent, and student views?

  2. What design system components would be shared across all four surfaces?

  3. How do we keep the parent experience mobile-first while the admin experience is desktop-optimized?

I delivered high-fidelity screens for all four dashboards and 20+ portal modules.

  1. Built a unified design system: buttons, inputs, tables, cards, modals, alerts, and badges.

  2. Designed all screens across both mobile and desktop with intentional layouts for each.

  3. Applied all UI states consistently, loading, success, error, and empty, across every module.

From the start, there were layers of complexity to navigate, designing a school management portal that had to serve four completely different users in one unified system, while making each experience feel purpose-built for that role. It was a real challenge to balance the needs of administrators, teachers, parents, and students simultaneously, figuring out how to give each role exactly what they needed without overwhelming them with what they didn’t.

Throughout the project, I went through multiple wireframe iterations and had extensive conversations with the Royalpeer team about the nuances of each module, from result entry and approval workflows to fee payments and bus subscriptions. On top of that, every surface was designed to feel organised and trustworthy, so administrators could run the school efficiently, teachers could focus on their students, and parents could stay informed without ever needing to visit the school in person.

"Sodiq took what was a very complex brief and turned it into a portal that actually makes sense to use. From the admin dashboard to the parent payment flow, everything was designed with real thought and care. Exactly what our school needed."

5. TEST

I validated the designs through usability testing across all four user roles.

  1. Shared interactive prototypes with a parent, a teacher, and an admin reviewer separately.

  2. Observed each user completing their core task without guidance.

  3. Focused sessions on the parent payment flow, teacher score entry, and admin result publishing.

I gathered role-specific feedback and iterated on the highest-friction moments.

  1. Identified where the payment gate caused hesitation for parents unfamiliar with the system.

  2. Used findings to simplify the score entry form and improve the result approval status display.

  3. Confirmed the role-based navigation felt natural — users never encountered screens they shouldn’t.

What Tested Well

  1. Parent dashboard’s per-child card summary was immediately understood.

  2. Score entry auto-calculation removed all manual effort for teachers.

  3. Admin financial dashboard’s today’s collection summary was described as “exactly what we needed”.

What Needed Iteration

  1. The result access payment gate needed a clearer explanation of the ₦1,000 fee purpose.

  2. Teacher result submission status needed a more prominent “pending approval” indicator.

  3. The “Pay All Outstanding” breakdown needed totals that updated in real time as items were toggled.

Final Improvements Made

  1. Added a brief explanation on the result gate: “A one-time access fee applies per term”.

  2. Introduced a clear status badge (Pending / Approved / Published) on the teacher’s submitted results list.

  3. Payment summary now updates dynamically as parents select or deselect individual payment categories.

Outcome Confirmed

  1. All four user roles completed their primary task without prompting in final test sessions.

  2. The parent described the portal as “better than what most bigger schools have”.

  3. The admin confirmed the financial dashboard replaced an entire weekly manual process.

I delivered a complete, developer-ready school management portal covering four user roles, more than twenty modules, and full payment infrastructure, designed for both mobile and desktop. Dedicated dashboards were created for each role (Admin, Teacher, Parent, and Student), so every user gets an experience built around what they actually need to do.

The portal’s twenty-plus modules span academics, payments, and operations, and the whole system was designed for two platforms: a mobile-first experience and a full desktop layout. A single unified design system and component library ties everything together, ready for developer handoff so the build stays consistent across every role and module.
